Your privacy is important to us. This policy explains how we collect, use, and protect your personal information.

1. Introduction

QLD Wedding Venues is bound by the Australian Privacy Principles set out in the Privacy Act 1988 (Commonwealth). By using this website, you agree to the collection, use, and handling of your personal information as described in this policy.

2. What information we collect

For couples (via enquiry form)

When you submit a venue enquiry, we collect: your name, email address, phone number (optional), wedding date, estimated guest count, and message content. The source page and referrer URL are also recorded for internal analytics.

For newsletter subscribers

We collect your email address and the page you signed up from.

For venue owners

We may collect: business name, contact name, email, phone, business address, photos, descriptions, and payment information. Card details are handled by Stripe — we never see or store them.

Automatically

We automatically collect usage data — such as page views, search queries and approximate region — to understand how the site is used and improve it. We use two providers: Umami Analytics, a privacy-friendly tool that does not use cookies and does not track you across other websites; and Google Analytics, which uses cookies to collect usage data. Google processes this data in the United States under its own terms.

Cookies and similar technologies

We and our third-party partners use cookies and similar technologies for three purposes:

  • Necessary — required for the site to work (for example, remembering entries in our enquiry forms). These cannot be switched off.
  • Analytics — Google Analytics uses cookies to understand how the site is used so we can improve it. (Our other analytics tool, Umami, is cookie-free.)
  • Affiliate — our affiliate partner Travelpayouts (its "Drive" tool) and our accommodation partners Booking.com, Expedia and Vrbo set cookies when you interact with an accommodation link, so that any commission can be credited to us.

You can block or delete cookies through your browser settings. We are also introducing a cookie consent banner that will let you choose whether to allow non-essential (analytics and affiliate) cookies before they are set; until it is in place, please use your browser settings to manage them.

3. How we collect information

We collect information when you:

  • Fill in forms on our site
  • Subscribe to our newsletter
  • A venue owner claims or edits their listing
  • Browse our site (via analytics)

We do not collect sensitive information as defined under the Privacy Act (race, political opinions, health information, criminal records).

4. Why we collect and use your information

We use your information to:

  • Deliver venue enquiries to the requested venue
  • Send newsletter emails (only if you subscribed)
  • Improve our website via analytics
  • Process venue subscription payments

5. Disclosure of your information

When you submit a venue enquiry, your name, email, phone number, and message are sent directly to the venue you enquired about. This is the purpose of the form — to connect you with the venue. No other personal information is disclosed to third parties except as required by law.

Newsletter subscriber emails are stored in Google Sheets via a Make.com webhook for mailing list management.

Our analytics and affiliate partners also receive limited data when you use the site. Google receives usage data through Google Analytics. Travelpayouts and its accommodation brand partners (Booking.com, Expedia and Vrbo) receive click and booking data when you interact with an affiliate accommodation link, so that commission can be attributed to us. These third parties process data under their own privacy policies, which we encourage you to review.

6. Overseas disclosure

Your data is stored in Convex (United States), emails are sent via Resend (United States), and analytics are processed by Umami (European Union) and Google Analytics (United States). Our affiliate tracking is operated by Travelpayouts, and our accommodation partners Booking.com, Expedia and Vrbo operate globally — clicking an affiliate link may result in related data being transferred to these parties outside Australia. By using our site, you consent to your information being stored and processed in these locations.

7. Data retention

Venue enquiry data is retained for 12 months, then deleted. Newsletter subscriber data is retained until you unsubscribe. Venue listing data is retained while the listing is active.

8. Access, correction, and deletion

You have the right to access, correct, or request deletion of your personal information. Contact us at qldweddingvenues@gmail.com and we will respond within 30 days.

9. Security

We take reasonable steps to protect your personal information including encrypted data storage, secure API connections, and access controls. No system is completely secure. Contact us immediately if you believe there has been a breach.

10. Spam Act compliance

Our newsletter is consent-based. You only receive emails if you subscribed. Every email includes an unsubscribe link. We do not send unsolicited commercial emails.

11. Children's privacy

This website is not directed at children under 16. We do not knowingly collect personal information from children.

12. Changes to this policy

We may update this policy from time to time. Changes are effective when published on this page. Check back periodically.

13. Complaints

If you believe we have breached this policy or the Privacy Act, contact us at qldweddingvenues@gmail.com. If you are not satisfied with our response, you may complain to the Office of the Australian Information Commissioner (OAIC) at https://www.oaic.gov.au or phone 1300 363 992.
